    Job Description

    Location: On-site, Montgomery, AL 

    Schedule: 

    • Monday–Thursday: 8:30 AM–4:30 PM (on-site) 

    • Friday: 8:00 AM–1:00 PM (remote) 

    •  Duration: 3–5 months 
       

    Position Summary 

    We are seeking a temporary Executive Assistant to provide high-level administrative and operational support to the President of Sutton Planning during her Executive Assistant's maternity leave. This role is critical to keeping daily operations, schedules, and priorities running smoothly. The ideal candidate is organized, proactive, and comfortable supporting senior leadership in a fast-paced environment. 

    Key Responsibilities 

    • Calendar Management 

                Manage and prioritize the President’s daily, weekly, and long-term schedule 

                Coordinate meetings, prepare agendas, and ensure timely follow-up 

    • Email Management 

                Monitor and manage inbox communications 

                 Draft responses, flag urgent matters, and maintain organized email systems 

    • Travel Coordination 

                Arrange domestic and international travel, including flights, lodging, and itineraries 

                Ensure seamless logistics and provide support before and during travel 

    • Project Management 

                Track deadlines, action items, and deliverables 

                Coordinate with internal and external stakeholders to keep projects moving 

    • Time Management Support 

                Act as a gatekeeper for the President’s time 

                Help structure the day to maximize productivity and focus

    Required Experience  

    • Prior experience supporting senior leadership is helpful but not required 

    • Strong organizational, communication, and prioritization skills 

    • Comfortable handling multiple tasks and shifting priorities 

    • Professional presence and ability to work independently
